Gion Matsuri runs across the whole of July, but the weight falls on two parades — the Yamaboko Junko on 17 and 24 July — and on the Yoiyama evenings before each, when downtown Kyoto closes to traffic. For a luxury client this is one of the great sights in Asia. For an agent it is the hardest week of the Kyoto year: hotels price at their annual peak, the good machiya are taken a year ahead, and standing in a crowd for four hours is not what a high-end client came for.

• The parade route is fixed and public, so the difference between a memorable morning and an exhausting one is entirely where the client watches from.
• Kyoto's luxury inventory is small and July is its peak; the rooms that matter are contracted long before the festival is on anyone's mind.
• Yoiyama evenings are the atmospheric heart of the festival and the most punishing crowds — they need planning, not improvisation.

Basing decides the file.

Central Kyoto within walking distance of the route is worth paying for during Gion Matsuri, because transfers through a closed downtown are slow and unpleasant. We contract machiya and luxury hotel rooms a full year ahead.

When to start.

Twelve months, without exaggeration. Kyoto in mid-July is the single tightest week in the Japanese luxury calendar, and the inventory that makes the festival comfortable is gone first.
